Position Summary

We are seeking a highly organized, professional, and detail-oriented Part-Time, Temporary Administrative Assistant to cover a short-term need. This role requires managing both front-of-house public interaction and essential back-office support. This position is critical for the accurate completion of a back-log scanning project, efficient communication flow, and ensuring a positive experience for all clients and visitors.

  • Schedule : Approximately 24 hours per week. Typical schedule will be Monday and Tuesday another with either a Wednesday or Thursday, 8:00 AM to 5:00 PM
  • Duration : This is a temporary assignment anticipated to last 12 to 18 week

Duties and Responsibilities

  • Scanning and digitization to include efficiently scanning, organizing, and accurately name high volume of back logged paper documents.
  • Maintain and update both digital and physical filing systems, ensuring all records are easily retrievable and compliant with company standards.
  • Perform accurate data entry related to scanned documents and other administrative tasks.
  • Monitor, order, and stock office supplies, ensuring staff have necessary resources if needed.
  • Serve as the first point of contact for clients, vendors, and the public, providing a professional and welcoming presence.
  • Greet visitors, determine the nature of their visit, and direct them to the appropriate person or department
  • Answer incoming calls using a multiline phone system, screen calls, provide basic information, and accurately transfer calls to the correct staff member or department.
  • Take clear, detailed messages when staff are unavailable and ensure prompt delivery.

Knowledge, Skills and Abilities

Knowledge of modern office procedures, business letter writing, report preparation, and proper telephone etiquette.

  • Knowledge of principles and procedures of record keeping and filing.
  • Skill in utilizing a personal computer and associated software programs.
  • Ability to operate computer keyboard and other basic office equipment
  • Work independently with minimal supervision.
  • Maintain confidentiality and professionalism.

 

Qualifications and Requirements

  • High school diploma or equivalent.
  • 1 year experience in an administrative, clerical, or customer-facing role.
  • Successful completion of a criminal history background check, education, and work history verification, and drug screening test.
  • Exceptional organizational skills and a high level of attention to detail specifically with document management.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment (e.g., scanners, copiers, multi-line phones).
  • Excellent verbal and written communication skills.

License and Certification

  • Texas Class “C” Driver’s license

Physical and Mental Requirements

Exerting up to 40 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

  • Ability to bend the body downward and forward by bending spine at waist, and bending legs at knees and moving extremities in any direction
  • Ability to withstand physical demands on the body, including being in a stationary and/or standing position most of the day
  • Ability to express and exchange ideas by means of the spoken word, including where detailed or important spoken instructions must be conveyed to other workers accurately, loudly or quickly
  • Ability to understand, remember and apply oral and/or written instructions or other information
