Boca Prep International School is seeking a Front Desk Receptionist to join our team. The ideal candidate should be someone with a passion for education, while promoting the development of young people to contribute proactively to the ongoing work towards a better world.

Founded in 1997, Boca Prep has been providing a student-centered, college-preparatory, International Baccalaureate (IB) education for students in preschool through 12th grade as an independent school. The school was IB authorized in 2009 and became an IB World School in 2016, offering all three programs of the International Baccalaureate, as well as extra-curricular activities, community service, performance programs, and the performing arts that are all emphasized alongside the highest expectations for academic engagement and attainment. With over 50 countries represented in our student body, Boca Prep has developed its own community with an international perspective. Boca Prep is an International Education Systems (IES) school. Receptionist

The Receptionist is the front line of the school and must be skilled in communication by remaining positive, friendly, and helpful. He/she is primarily responsible for answering phones and greeting visitors.

  • Answers and directs phone calls.
  • Welcomes and signs in visitors when necessary
  • Maintains confidentiality
  • Updates staff mail/phone directories/personal contact list
  • Keeps track of changing staff and student schedules
  • Actively keeps track of all school activities in order to be knowledgeable for phone calls
  • Filters and connects calls for the administration/takes messages
  • Maintains teacher/student sign-out / sign-in book
  • Maintains communication with the Maintenance crew and Security Guard
  • Schedules the conference room when needed
  • Monitors the parking lot, main gate, and office for security issues (camera feeds)
  • Helps edit and send all-school emails
  • Updates and monitors the front office television display and any others as required.
  • Manages Lost and Found
  • Maintains an organized, uncluttered, and clean front desk area and storage room
  • Shares the responsibility for summer hours

Administrative Assistant

  • Records, maintains, and communicates daily attendance
  • Notifies parents of absent students in a timely manner
  • Supports the administration with making calls, printing and/or copying documents (award certificates, report cards, etc.)
  • Manages substitute coverage
  • Manages student locker assignments.
  • Organizes and maintains inventory of office supplies
  • Assists with mailing all documents for the admin
  • Manages parking passes for staff, students, and families
  • Documents and monitors student drivers in cooperation with administration
  • Support administrative needs for various documents (ie, student handbook, accreditation, etc.)
  • Supports the Director of Admissions in greeting and processing new admissions as required
  • Supports the Head of School
  • Assists with Purchase Orders, etc., during the summer, if required
  • Health Services Coordinator
  • Assists with student sickness/injury, documents, and notifies parents
  • Monitors all students who take medication, providing proper dosages
  • Manages immunization spreadsheet with dates and deadlines,
  • Other duties as assigned
