Bethany School is seeking a Part-time School Administrative Assistant to join our front office team. Candidates should be experienced and able to work in a collaborative, team environment.

Bethany School, the only K-8 Episcopal school in the state of Ohio, is a co-ed day school of about 175 students located in the northwestern suburban village of Glendale outside of Cincinnati. The school was founded in 1898 by the Community of the Transfiguration, a society of Episcopal women ("sisters") who live together in community under a religious rule. The school continues to exist on the 22-acre campus of the mother house (convent) of the

Community.

Schedule: Monday to Friday, 7:45 a.m. – 1:15 p.m.

Essential Duties and Responsibilities

Front Desk Operations

  • Serve as a warm and professional first point of contact for visitors, families, and staff
  • Answer and route incoming phone calls
  • Greet and sign in visitors and students; monitor school entry points
  • Manage the main office email inbox and respond to general inquiries from parents and staff
  • Take daily attendance and communicate absences as needed
  • Send out the school's Daily Memo

Administrative Support

  • Coordinate weekly school newsletter distribution
  • Set up and manage biannual parent-teacher conference scheduler
  • Maintain and organize student records and forms
  • Assist with updating forms, procedures, and documentation
  • Support the Assistant to the Head of School, Business Office, Admissions, and Administrators as needed

Logistics and Communication

  • Coordinate transportation with bus providers and communicate any changes to teachers
  • Set up online sign-up schedules (e.g., SignUpGenius) for events and RSVPs

Office Management

  • Organize and file documents
  • Assist with mailings and sort/distribute incoming mail
  • Monitor and restock office supplies (e.g., copier paper, toner, staples)
  • Troubleshoot basic equipment issues (copiers, laminator, etc.)
  • Assist with updating forms, procedures, etc.

Other Duties

  • Assist Assistant to Head of School, Business Office, Admissions, and Administrators as needed
  • Perform other job-related tasks as assigned by the Administrative Team

  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a busy environment
  • Effective written and verbal communication skills
  • Proficiency in basic computer applications (e.g., Microsoft Office, Google Workspace)
  • Ability to work collaboratively and independently

Education and Experience

  • High school diploma or equivalent required
  • Prior administrative or front office experience preferred
  • Experience in a school or educational setting is a plus
